Job Description – Senior Admin cum AccountantPosition Overview
We are looking for a detail-oriented and responsible Senior Admin cum Accountant to oversee administrative operations and financial coordination across both our Interior Fit-out and Real Estate businesses. The role requires strong multitasking, accounting knowledge, and organizational skills, ensuring smooth office management while also handling rent payment tracking, financial reporting, and compliance.
Key ResponsibilitiesAdministration & Office Management
- Oversee day-to-day office operations and administrative staff.
- Maintain contracts, company records, trade licenses, insurances, and renewals.
- Draft, review, and circulate internal/external correspondence.
- Manage HR-related documentation such as attendance, leave records, onboarding, and employee files.
- Coordinate travel arrangements, visas, and government formalities with PRO.
Accounting & Finance
- Record, verify, and reconcile daily financial transactions.
- Handle petty cash, supplier invoices, purchase orders, and expense reimbursements.
- Prepare monthly financial reports and cash flow statements.
- Coordinate with auditors, banks, and external stakeholders for financial matters.
- Ensure VAT compliance, accurate filing, and timely submissions.
Real Estate Rent Management
- Maintain tenant records, lease agreements, and renewal schedules.
- Monitor rent collection and issue timely reminders for due payments.
- Record, reconcile, and report monthly rental income.
- Prepare rent collection status reports and escalate overdue cases.
- Coordinate with tenants for renewals, contracts, and Ejari formalities (if applicable).
- Liaise with property management and legal teams for overdue recovery.
Procurement & Vendor Coordination
- Process purchase requests, quotations, and supplier comparisons.
- Ensure vendor bills are verified and matched with POs before payment.
- Maintain an updated supplier/vendor database.
Key Skills & Competencies
- Strong administrative, accounting, and reporting skills.
- Knowledge of UAE real estate procedures, rent collection, and tenancy laws.
- Proficiency in MS Excel, Zoho Books/CRM, or similar ERP systems.
- Excellent communication skills (English required; Arabic is a plus).
- Ability to manage confidential information with discretion.
- Strong organizational and problem-solving abilities.
Qualifications & Experience
- Bachelor’s degree in Accounting, Business Administration, or related field.
- 5–7 years’ experience in Administration & Accounts, with at least 2 years in real estate rent management in the UAE.
- Familiarity with interior fit-out and property management is highly preferred.
Reporting To
- Reports directly to the General Manager / CEO.
- Works closely with the Accounts, HR, and Real Estate Teams.
